A referral moves forward. An authorization gets renewed. Documentation is where it needs to be. A housing partner gets paid. Reports go out on time. And when something isn't working, someone notices before it becomes a bigger problem.
We're looking for an Administrative Operations & Compliance Coordinator who loves bringing order to moving pieces and making sure nothing falls through the cracks.
You'll sit at the center of Anchor's day-to-day operations, supporting our CalAIM programs across referrals, authorizations, billing, EHR workflows, audits, reporting, onboarding, and housing partnerships.

What You'll Own
Reporting & Operational Monitoring
- Prepare daily census and monitor occupancy trends
- Complete required operational reports accurately and on time
- Pull EHR data for monthly reviews and special reporting
- Maintain accurate trackers and identify trends requiring follow-up
EHR, Documentation & Audit Readiness
- Monitor adherence to established EHR workflows
- Track missing or incomplete documentation
- Coordinate audit preparation and maintain organized records
- Help staff resolve routine EHR and operational workflow questions
- Identify recurring issues and escalate when appropriate
Referrals, Intake & Onboarding
- Coordinate the day-to-day referral-to-intake process
- Track referrals, missing information, and bottlenecks
- Support onboarding of new MCPs and services
- Maintain implementation checklists and follow up on outstanding requirements
Claims, Authorizations & Billing
- Track claims, payments, authorizations, and denials
- Coordinate routine follow-up on outstanding items
- Maintain accurate denial and billing trackers
- Identify unusual trends or discrepancies and escalate them for review
Housing Partner Program
- Coordinate onboarding and orientation for housing partners
- Collect occupancy updates and required documentation
- Enter partner encounter notes into the EHR
- Track and reconcile partner payments with Finance
- Follow up on missing documentation, reporting, and payment issues
What We're Looking For
CalAIM knowledge isn't optional for this role. We need someone who understands the environment we're operating in and can confidently support the workflows behind these services- someone who is constantly looking for better ways to do things and has an AI-forward mindset.
You should bring:
- Knowledge of and hands-on experience working with CalAIM programs and requirements
- Experience in healthcare operations, managed care, care coordination operations, housing services, or a related environment
- Experience working with EHR systems
- Familiarity with referrals, authorizations, claims, billing, and healthcare documentation workflows
- Strong Excel/Google Sheets and operational tracking skills
- Exceptional organization, accuracy, and follow-through
- Ability to manage multiple recurring deadlines and priorities
- Strong written and verbal communication
- Ability to identify patterns, discrepancies, and process breakdowns
- Good judgment about what you can resolve independently and what needs escalation
Most importantly, you're someone who takes ownership. You don't just identify that something is missing -- you follow it until it's resolved.

You'll know you're succeeding when reports are accurate and on time, referrals keep moving, authorizations don't unexpectedly lapse, EHR documentation is complete, audits don't create panic, billing issues are visible and tracked, and housing partners have the support they need.
